Where Vimeo falls short for wedding delivery

Vimeo earned its reputation with what is, in our experience, the best embed player around, and the privacy basics — password protection, unlisted links — are genuinely there on paid plans. The problem is not privacy. It is what happens to a wedding after you press send.

• Links live and die with your subscription. Let a paid plan lapse and the account drops to a 1 GB cap (as of August 2026): by Vimeo’s own docs, over-cap videos are restricted newest-first, clip pages and embeds stop working, shared links no longer play, and unlisted videos flip to Private. Because it runs newest-first, the weddings you delivered most recently are the ones that go dark first.
• The master is opt-in, and only in advance. Vimeo can hand the couple the original file — but only on a paid plan, only if you ticked “Keep source video files” before the upload, and only once you turn Downloads on for that film. The setting is off by default and is not retroactive, so weddings already uploaded without it have no master left to give. On Knotflix the download is there from the start, for every film, with nothing to have switched on beforehand and nothing that can be too late to fix. The trade, stated plainly: what we hand back is our 1080p encode, not the file you uploaded — we do not keep that. So Vimeo, with the box ticked in time, returns a better file than we do; Knotflix returns a good one without anyone having had to know the rule in advance.
• Half the wedding is missing. Vimeo has no photo galleries — Showcases collect videos, not photos — so couples juggle a video page from you and a photo link from someone else’s tool, and your film loses the shared home it should headline.
• Hosting a video is not a delivery workflow. A video page is not a client handoff: no photo favorites or full-res ZIPs, no proofing workflow, and no gallery a couple can extend — so none of the long tail comes back to you. A showcase page is a portfolio tool, not a client handoff.

When Vimeo is still the right tool

For the public face of your studio, Vimeo is hard to beat. A showreel on your homepage, a clean player in an ad, a film you want the whole internet to see — that is the job Vimeo was built for, and in our experience nothing beats it. Its review pages with time-coded notes are also a genuinely good way to run edit rounds with a couple before the final cut.
